whatsapp business setup

For many South African small businesses, replying to customers from a laptop rather than a phone screen is simply more practical during the working day.

WhatsApp Web makes that possible, but it’s often confused with WhatsApp Business or the WhatsApp Business Platform (API), each of which works quite differently.

Here’s what business owners need to know to set it up properly, use it well, and troubleshoot the problems that come up most often.

What WhatsApp Web actually is

There are two WhatsApp apps for businesses, and it’s worth knowing the difference before you start:

  • WhatsApp Business App – free, designed for solo traders and small teams managing chats from a single phone.
  • WhatsApp Business Platform (API) – built for businesses that want automation, multiple agents, or tools like booking systems and order updates layered on top.

WhatsApp Web is the browser version of your WhatsApp or WhatsApp Business app.

It mirrors the chats on your phone onto a larger screen, which makes typing faster and file sharing easier when you’re managing several conversations at once. It isn’t a separate account or a business-specific product on its own, if you’re using it with a WhatsApp Business app number, you’ll also see business features like quick replies, labels and a catalogue carried through to the browser.

This distinction matters because a lot of the confusion business owners run into stems from mixing up WhatsApp Web (browser access), WhatsApp Desktop (a standalone app), and the WhatsApp Business Platform (the API used by larger operations for automation and multi-agent support). WhatsApp Web and Desktop are built for one person managing chats manually; the Business Platform is built for teams and automated workflows.

Setting up WhatsApp Web for your business

Getting started takes only a minute:

  • On your computer, open a supported browser and go to web.whatsapp.com. A QR code will appear.
  • On your phone, open WhatsApp Business, tap the menu or Settings, and select Linked Devices.
  • Tap Link a Device, then scan the QR code shown on your screen.

Once linked, your chats sync across the browser and phone.

According to WhatsApp’s own announcement, you can link up to four devices to one account, or ten if you have a Meta Verified subscription, and your primary phone only needs to reconnect once every 14 days. That means your phone doesn’t need to sit online constantly for the browser session to keep working, though it does need to check in periodically.

Practical tips for daily use

A few habits make WhatsApp Web genuinely useful rather than just a bigger screen for the same problem:

Keep your phone charged and connected to Wi-Fi or mobile data reasonably often, even though it doesn’t need to be online every minute. Long stretches offline will eventually log the linked session out.

Use labels and quick replies if you’re on the WhatsApp Business app, since these carry through to the browser and save time on repetitive queries, order confirmations, opening hours, delivery timelines and so on.

Review your linked devices list occasionally through Settings on your phone. If a device you don’t recognise is linked, remove it immediately.

This is good security practice regardless of business size, and worth building into a monthly routine alongside other basic data hygiene under POPIA.

Don’t rely on WhatsApp Web if more than one staff member needs to answer the same number. It supports multiple devices, not multiple people working the same inbox simultaneously with visibility into who answered what, that’s a shared-inbox or Business Platform feature, not a Web feature.

Step 4: Set up the essentials, catalogue, quick replies, and away messages

Common issues and how to fix them

Messages not syncing between phone and browser – This is usually a temporary connectivity hiccup. Check that your phone has an active internet connection, refresh the browser tab, and re-scan the QR code if the session shows as disconnected.

Logged out unexpectedly – If your primary phone has been offline or inactive for an extended period, linked sessions will disconnect automatically as a security measure. Simply relink by scanning the QR code again.

Can’t see catalogue or quick replies in the browser – These are WhatsApp Business app features. If you’re using a personal WhatsApp account rather than WhatsApp Business, they won’t appear regardless of the device.

Slow performance with many open chats – Browsers handle large volumes of media and conversation history less gracefully than the native app. Closing unused tabs and clearing cached data periodically helps.

When WhatsApp Web isn’t enough

WhatsApp Web works well for a sole trader or a very small team fielding a manageable volume of enquiries. Once you’re dealing with multiple staff answering the same number, needing automated responses outside office hours, or wanting to track response times and customer history properly, it’s worth looking at the WhatsApp Business Platform instead.

This is where a shared team inbox, structured automation and reporting become possible, capabilities WhatsApp Web was never designed to offer.

If your business has outgrown manual, one-device messaging, Chabo helps South African businesses move from basic WhatsApp Web workflows to structured, automated customer conversations on the WhatsApp Business Platform, without losing the personal tone customers expect on WhatsApp.
